Next steps after your order
What happens after your order?
These instructions apply to registrations in Germany. Other countries have their own documents – you will find them via the country link in your order confirmation, or we will send them to you by email.
We have received your order. Before we can act on your behalf, we need some documents from you.
- Complete the application form – the details the authority requires for your registration. You can fill it in on your computer.
- Print the contract and sign it by hand – the power of attorney is an annex to the contract, so you sign once, not twice. Why it has to be handwritten
- Enclose proof of your company – which documents these are depends on where your company is registered. See the three cases
- Return everything to us – scanned to info@ecopv-eu.com. The scan is enough; you keep the original.
Once everything is complete, we file with the competent authority within 3 working days.
After that there is nothing further for you to do: we handle the correspondence with the authority, the volume reports and the proofs.
Which documents will you receive from us?
Which documents apply to you depends on the service you ordered.
These contracts apply to Germany only. If you ordered another country, please do not use any of them.
| Law | Documents | Authorised representative |
|---|---|---|
| ElektroG (electrical and electronic equipment) | Contract with power of attorney · Application form | ECOPV-EU GmbH |
| BattDG (batteries) | Contract with power of attorney · Application form | ECOPV-EU GmbH |
| VerpackDG (packaging) | Contract with power of attorney · Application form | ECOPACK GmbH |
| EWKFondsG (single-use plastics) | Contract with power of attorney · DIVID application form | ECOPV-EU GmbH |
The contract and the power of attorney are one document.
The power of attorney by which you appoint us as your authorised representative is attached to the contract as an annex. You sign once, not twice. Our side is already filled in.
For packaging, the name on the contract is ECOPACK GmbH.
This is not a mistake: the authorised representative role under the VerpackDG sits with our sister company. Your contact person, your invoice and the handling stay the same.
If you ordered services under several laws, we need a separate contract for each one – the registrations are legally separate.
Which proof do we need about your company?
That depends on where your company is registered. Please find the case that applies to you.
Companies from mainland China and other non-EU countries
- Business licence or equivalent proof of registration
- An English translation of that proof – without it we cannot file
Companies from Hong Kong
- CR and BR plus NAR1 or NNC1
- No translation is needed – these documents are already in English
Companies established in Germany
- Commercial register extract in German
- Lease agreement for your business premises in Germany
- Product photos showing the brand, plus a German-language user manual
- Guarantee contract – we prepare it and send it to you for signature
A different contract version applies to companies established in Germany, because you do not need an authorised representative.
Not sure which case applies to you? Send us a short message – we will clarify it before you sign anything.
Which details do we need from you?
The application form asks for these details in a structured way. If you gather them beforehand, it takes only a few minutes to complete.
For every registration
- Company name and address exactly as they appear in the register
- Register number and registering court; for non-German companies, the equivalent register
- VAT identification number or tax number
- Name of the person authorised to represent the company
- Contact person with email address and telephone number
- The website or shop link through which you sell
Additionally for electrical equipment (ElektroG)
- The brand or brands under which you place products on the market
- Equipment category or categories under Annex 1 ElektroG
- Classification as B2C or B2B equipment
- Expected annual volume per equipment category
Additionally for batteries (BattDG)
- The brand or brands and the battery category
- Chemical system and weight of the individual battery
- Expected annual volume in kilograms; for button cells, also the number of units
- For industrial, LV and starter batteries, additionally the safety data sheet (MSDS) for each battery type
Additionally for packaging (VerpackDG)
- The brand or brands
- Packaging types and materials
- Expected annual volume per material in kilograms
- Your LUCID number, if you are already registered in the packaging register
Additionally for single-use plastic products (EWKFondsG)
- Product categories under Annex 1 EWKFondsG
- Expected annual volume per category
Incomplete details are the most common reason for queries, and therefore for delays.
If you are unsure about an entry, leave the field blank and tell us – we will clarify it with you before we file.
Why must the contract be signed by hand?
German law requires written form (Schriftform) for this authorisation.
What is meant is a handwritten signature on paper.
A signature image pasted into the PDF, a photo of your signature and an electronic signature do not meet this requirement.
The same applies to the ElektroG, the BattDG and the VerpackDG alike.
How to do it correctly
- Print the contract.
- Sign it with a pen – by a person entitled to represent your company.
- Add the company stamp, if that is customary in your country.
- Scan it, or photograph it clearly, and send it to info@ecopv-eu.com.
The scan is enough for us. You do not need to send the original by post.
Please keep the signed contract yourself for as long as we act on your behalf.
How long does it take?
What we can commit to: once your documents are complete, we file within 3 working days.
What we cannot commit to: how quickly the authority decides. The figures below are values from experience, not a guaranteed result.
| Registration | Processing by the stiftung ear |
|---|---|
| Electrical equipment (WEEE) | 6–8 weeks |
| Batteries | around 3 days, at best on the following day |
For packaging and single-use plastic products we will tell you the expected time frame as soon as your documents reach us.
Important: the registration must be in place before your first sale in Germany.
Allow for the authority's processing time before you schedule a sales launch or a marketplace listing.
Frequently asked questions
I do not have a printer. Is there another way?
Not for the contract, unfortunately. Written form cannot be replaced digitally.
The application form, however, can be completed entirely on your computer and returned without printing.
Who may sign the contract?
A person entitled to represent your company with legal effect – usually a managing director or a person holding Prokura.
The name has to match the register extract. If someone else signs, please enclose a sub-authorisation.
Do I have to send the original by post?
No. A scan of the printout you signed by hand is enough for us.
Please keep the original yourself – it still has to carry a handwritten signature.
I bought several services in one order.
Then we need one contract per law, but only one application form per registration.
We will tell you which documents apply to your specific order when we reply to it.
What happens if I do not return the documents?
We cannot act for you – without a power of attorney we are not permitted to represent you before the authority.
Your legal obligations continue to run in the meantime. We will remind you if we do not hear from you for a while.
Can I also get the documents in English or Chinese?
Yes. The contract and the application form are bilingual, so that you know what you are signing.
The German version is the legally binding one – for the ElektroG authorisation, § 8 (1) sentence 3 ElektroG says so explicitly.
Who do you ask if something is unclear?
Call us or write to us – a short question is faster than a rejected application.
